Who We Need
An exciting opportunity is available for a Trade Marks Renewals Paralegal to provide efficient management and maintenance of our renewals function within our Trade Mark group.
This role requires an efficient, customer service focussed and organised person with the ability to work within a busy team. You will be responsible for effectively maintaining the renewals part of the records system, processing reminders and instructions, payment of fees and updating of records.
We are looking for an organised and efficient person that can work both autonomously and in a collaborative team environment. Often working to strict deadlines, the position requires someone who can prioritise and maintain a professional image and customer service focus.
Location: Sydney / Melbourne / Brisbane / Perth
Key Responsibilities
- Ensure the efficient management of local and foreign trade marks renewals including sending reminders, notifications and updating the internal database throughout the day.
- Manage and respond to ‘Helpdesk’ email enquiries regarding trade marks renewals for both internal/external clients.
- Export and import case data in data management system Inprotech.
- Process instructions for payments, including invoicing clients.
- Liaising with both clients and lawyers and providing quality and accurate information at all times.
- Prepare client portfolio reports.
- Pro-actively assist with streamlining existing practices/procedures to create efficiencies within the Trade Mark Renewals team.
- Providing other general administrative tasks as required.
About You
Experience
- Experience in trade marks or patents renewals processes preferred.
- Administrative experience in a legal or financial environment essential.
Skills & Attributes
- Intermediate technical skills in Microsoft Office products (Outlook, Word and Excel).
- Able to communicate clearly in writing with internal and external clients.
- Superior data entry skills.
- Excellent customer service approach (internal/external clients).
- Excellent levels of attention to detail and accuracy.
- Excellent time management skills with the ability to effectively prioritise workload.
- Ability to follow procedures and existing processes to ensure all deliverables are completed accurately and within the required timeframe.
- High level of initiative and ability to self-manage.
- Ability to work within a team.
